TERMS AND CONDITIONS 

A: GENERAL TERMS AND CONDITIONS 

Lapunyah Art Gallery Inc Committee has the right to accept or decline event bookings 

Hirers must not infringe copyright laws with regards to the conducting of their event 

Hirers must maintain the dignity of the Gallery space and the sanctity of all artworks within the Gallery. They must not bring the reputation of Lapunyah Art Gallery into disrepute  

The consumption of alcohol is allowed AFTER Gallery opening hours (exceptions can apply); sales of alcohol are not permitted 

Gallery infrastructure, artworks and furniture positions must not be moved or altered unless prior permission has been given by the Committee 

Minors must be supervised by an adult at all times with basic behavioral expectations: such as walking only, no touching of Gallery artworks and infrastructure, normal voice   

During Gallery Opening Hours: 

Normal gallery procedures will occur and Gallery Volunteers will be present to Open and Close the gallery 

The two gallery spaces and gallery merchandise sales will be open to the general public 

Volunteers are not available to assist in the setting up, running of or cleaning up after the event  

Events booked at this time will be subject to gallery expectations of noise reduction (e.g. no music) and movement confined to the workshop space (unless viewing the exhibitions on show)

After and Before Gallery Opening Hours: 

Any after gallery opening hours events must be completed by 10pm and all events users must exit the gallery by 10:45pm 

Any bookings before opening gallery hours can commence from 6:15am onwards  

Committee maintains the right to be selective on when out of hours bookings are available  

Gallery Volunteers will not be available to Open or Close the gallery space 

Hirers must collect and sign for the Gallery Key (and Code) from the Chinchilla Customer Service Centre (CCSC) in Heeney Street  

Hirers must return the Gallery Key at the end of the event to the CCSC 

For out of CCSC hours, Hirer MUST return Gallery key to the CCSC the next day or send it through the Chinchilla Library Returns Chute  

If the key is not returned the Bond will be withheld until the key is returned  

The two galleries, merchandise sales area, back of gallery storerooms and gallery office will be closed to event participants. If you wish to have the Galleries open during this time, an additional out of hours fee of $70 for each hour open must be negotiated, dependent on Gallery Volunteer availability 

General Information

The Committee reserves the right to suspend the event in cases of emergency or an infringement of Terms and Conditions. All monies paid by the Hirer will be refunded dependent on the circumstances  

Any costs incurred by a Hirer for a cancelled event are the responsibility entirely of the Hirer 

All financial transactions with Lapunyah Art Gallery Inc will be done after the Booking has been accepted by the Lapunyah Art Gallery Inc Committee  

Hirers will be invoiced their hire fees and bond at the time of acceptance. Payment of Hire fees and Bond must be done at least two weeks before event 

Bond to be held by Gallery and returned to Hirer after event if all terms and conditions have been met by Hirer 

Small events (such as workshops and meetings) must use the Gallery Participant Register with name, date and times on/off of event, including a permission form for digital images of minors to be utilised by Lapunyah Art Gallery Inc signed by parents/caregivers (if applicable). This is required for statistical and insurance purposes 

Hirers for small events may also need to have their own Participant Register (as above) including a permission form for digital images of minors signed by parents/caregivers to be utilised by Hirer 

For large events the Gallery Daily Tally sheet (found at Volunteer Reception Desk) must be filled in with name of event and date and number of participants. This is required for statistical and insurance purposes  

The Gallery has Public Liability Insurance, however any activities undertaken whilst using the facilities are at the risk of Hirer and participants. N.B. Workshop Tutors please note special conditions applying for workshops below 

It is recommended that Hirers have their own Events Insurance prior to the event 

Lapunyah accepts no responsibility for theft of, or damage to, Hirers personal equipment, artworks or consumables  

Hirers are responsible for creating their own advertising posters etc, for promoting their event, taking their own bookings and doing their own financial transactions. Hirers are able to use the Lapunyah Art Gallery logo for advertising if desired – terms and conditions apply 

Lapunyah can through its own Social Media sites promote events using imagery supplied by the Hirer 

Hirers are responsible for:  

  • Collecting and returning Gallery Workshop Key from CCSC 
  • Setting up and putting away tables and chairs and AV equipment  
  • Providing refreshments and utensils for their participants (if required) 
  • Emptying Gallery rubbish bin into outside Council bins (at front of Gallery and at back) 
  • Cleaning areas used - wiping down benches and sinks; vacuuming inside area; mopping inside space – if needed; sweeping outside space and wiping down paint spills etc 
  • If any damage/stains occur this must be recorded in the Workshop/Events Space Record folder 
  • Cleaning equipment and gallery appropriate cleaning substances will be available at the gallery for Hirers use 

B: ADDITIONAL TERMS AND CONDITIONS FOR WORKSHOP TUTORS  

  • Tutors must have own Insurance and Blue Card registration (FOR Working With Children)  
  • All Tutors must supply own materials and non-perishables. N.B. Lapunyah has some non-consumables (e.g. table easels) which the Tutor can on request have access to  
  • Tutors are invited to provide Lapunyah with hard copies of business cards/flyers to promote their arts practice to Gallery visitors
